Privacy Notice / GDPR

1. Who is responsible for your personal data?

2. What data we process

Depending on your interaction with VIE Coaching Line, we may process your name, contact and billing details, appointment information, payment and invoicing information, correspondence, and any information you voluntarily share during coaching. Coaching notes may include brief professional notes on themes discussed, agreed actions, goals, and progress. The Coach aims to keep notes factual, proportionate, and relevant rather than creating detailed transcripts.

3. Why we use your data & legal basis

Personal data may be used to respond to inquiries, schedule and deliver sessions, communicate with Clients, maintain professional records, manage appointments, issue invoices and receive payments, handle complaints, meet legal or regulatory obligations, establish or defend legal claims, and protect service security. Depending on the activity, processing may be based on steps requested before a contract, the performance of the coaching agreement, a legal obligation, legitimate interests, or consent where required. Consent may be withdrawn at any time.

4. Storage, security & retention

We protect personal data through appropriate technical and organizational measures, including password-protected systems and access controls. If any, paper records are stored securely. Data is retained only as long as necessary, taking into account legal, accounting, professional, insurance and dispute-resolution requirements. [Retention periods to be confirmed: contact/administrative records; coaching notes; contracts and invoices; inquiries without a coaching relationship. Any legally required period takes precedence.]

5. Service providers & international transfers

VIE Coaching Line may use providers for video calls, scheduling, email, cloud storage, payments, accounting, and administration. These providers may process personal data as necessary to deliver their services. Some providers may process data outside the EEA. Where required, VIE Coaching Line will use an applicable GDPR transfer mechanism, such as an adequacy decision or appropriate contractual safeguards.

6. Recordings

Coaching sessions are not normally recorded. If recording is proposed for a professional, training, assessment or quality purpose, the Client will be informed in advance, and any required lawful basis or consent will be obtained. VIE Coaching Line will not use any client-coaching-related information for marketing or publish it without a separate agreement, where required.

7. Your data protection rights

Subject to applicable law, you may have rights to access, correction, erasure, restriction of processing, objection and data portability. Where processing is based on consent, you may withdraw consent. You may also lodge a complaint with the competent supervisory authority. Send requests to office@viecoachingline.com. Identity verification may be required.

8. Supervisory authority

In Austria, the competent supervisory authority is the Österreichische Datenschutzbehörde (Austrian Data Protection Authority).

9. Changes & contact

This document may be updated to reflect changes in coaching practices, technology, service providers, or applicable legal requirements.
